Comments and Discussions
CrownSync Playbooks includes a commenting system that lets team members discuss playbook content directly within the platform. Comments are attached to specific playbook sections, making it easy to have focused discussions about individual steps, templates, or procedures without losing context.
Adding Comments
To add a comment to a playbook section:
- Open the playbook and navigate to the section you want to discuss
- Click the Comment icon next to the section heading
- Type your comment in the text field that appears
- Click Post to submit your comment
Comments support basic formatting including bold, italic, and inline code. You can mention team members by typing @ followed by their name, which sends them a notification about the comment.
All team members (Owner, Admin, and Member roles) can add comments to any playbook section they can view. External collaborators can comment on the sections they have been assigned.
Threaded Discussions
Comments support threaded replies, allowing structured conversations about specific topics. When someone replies to a comment, the reply is nested underneath the original comment, keeping related discussion together.
Threaded discussions are particularly useful for:
- Debating whether a particular step should be modified for your organisation
- Requesting clarification on technical procedures from subject matter experts
- Documenting the rationale behind content customisations
- Coordinating edits between multiple contributors
Resolving Comments
When a discussion has reached a conclusion or the issue raised in a comment has been addressed, any team member with the Owner or Admin role can resolve the comment thread. Resolving a comment collapses it and marks it as complete, reducing visual clutter on the page.
To resolve a comment:
- Click the three-dot menu on the comment thread
- Select Resolve
Resolved comments are not deleted. You can view resolved comments by toggling the Show Resolved option in the comments panel. Resolved comments can also be reopened if further discussion is needed.
Use Comments for Change Rationale
Before customising a playbook section, add a comment explaining why the change is being made. This creates a record of the decision-making process that is valuable during audits and future reviews, and helps new team members understand why your playbooks differ from the defaults.
Notifications
CrownSync Playbooks sends notifications when comment activity occurs that is relevant to you. You receive a notification when:
- Someone replies to a comment you posted
- You are mentioned with
@in a comment - A comment is added to a section you have edited
- A comment thread you participated in is resolved
Notification preferences can be configured from your account settings. You can choose to receive notifications via email, in-app notifications, or both. For more details, see Notification Settings.
Comments in the Audit Log
All comment activity is recorded in the audit log. This includes comment creation, replies, edits, resolutions, and reopenings. The audit log entry records who took the action, which section and playbook it relates to, and the timestamp.
Information
Comments are part of the immutable audit trail. Even if a comment is resolved or the associated section is later modified, the comment history is preserved for compliance and governance purposes.
