PDF Branding & Classification

Customise PDF exports with your branding and UK classification markings.

PDF Branding Settings

The PDF Branding page lets you customise how your exported PDFs look. Settings configured here apply to all PDF exports from your organisation, including individual playbook exports, batch exports, executive summaries, and drill reports.

Upload your organisation's logo to have it displayed on the title page of every PDF export. The logo appears alongside your organisation name and the playbook title.

  • Accepted formats: PNG, JPEG, or SVG
  • Recommended size: 300 × 100 pixels minimum
  • Maximum file size: 2 MB

To upload or change your logo, navigate to Admin → PDF Branding and click Upload Logo. A preview shows how the logo will appear on the PDF title page.

Additional Contacts

You can add additional contact information that appears on the key contacts page of your PDF exports. This is useful for including contacts beyond those in your standard organisation profile, such as:

  • External legal counsel
  • Cyber insurance broker or claims contact
  • Third-party incident response retainer
  • Regulatory affairs contact

Each additional contact entry includes fields for name, role, email, and phone number. You can add up to ten additional contacts.

UK Classification Markings

CrownSync Playbooks supports the UK Government Security Classifications for document marking. You can apply one of the following classifications to your PDF exports:

  • OFFICIAL— The baseline classification for most government and business information. This is the default setting.
  • OFFICIAL-SENSITIVE— For information that requires additional handling care beyond the baseline. This marking includes a handling caveat displayed prominently in the PDF header and footer.
  • CONFIDENTIAL— For business-confidential information. Note that this is a business classification rather than a government security classification, suitable for private sector organisations.

The selected classification marking appears in the header and footer of every page in the PDF, ensuring the handling requirements are visible regardless of which page is viewed.

Higher Classifications

CrownSync Playbooks is not designed for information classified at SECRET or TOP SECRET. If your organisation handles information at these classifications, incident response documentation should be managed within appropriately accredited systems.

Custom Header Text

You can add custom text that appears in the header area of each PDF page, below the classification marking. This is commonly used for:

  • Document control references
  • Distribution restrictions (e.g. "Internal Use Only")
  • Department or division identifiers
  • Version or review cycle information

Custom header text is limited to 100 characters. It appears in a smaller font than the classification marking to maintain visual hierarchy.

Preview and Save

After making changes to any branding setting, use the Preview button to see how the title page and a sample content page will appear with your settings. Once you are satisfied, click Save to apply the changes.

Branding settings apply to all future exports. Previously generated PDFs retain the branding settings that were active at the time of export. For more details on exporting, see Exporting PDFs.
